For more information visit our website at www.ccs-soaz.org. The Administrative Assistant II position provides administrative and project support to all Housing and Family Services programs. Performs general clerical duties in accordance with office procedures of the agency; may include a combination of answering telephones, greeting clients, data entry, word processing, office machine operation, filing and monthly, quarterly, and year-end reports. Position may from time to time be stressful and require a high demand of performance. May complete other duties as assigned. ESSENTIAL FUNCTIONS Provides administrative and clerical support to Housing Family Services programs, including Housing and Urban Development (HUD)-funded initiatives Answers phones, responds to inquiries, and triages calls to appropriate staff Performs data entry of client case files into HUD-approved web-based systems Assists with data collection and may be responsible for creating and/or maintaining databases Conducts intake assessments with prospective clients and assists clients with initial paperwork Performs other related tasks such as organizing and duplicating materials, filing, editing documents/presentations, report writing, and opening/purging of client case files Assists with the planning, organization, and/or implementation of program-related activities and agency-wide events May drive agency or personal vehicle on company business STANDARD BEHAVIORAL RESPONSIBILITIES Staff members will be respected as human beings who are contributing to the total success of Catholic Community Services Employees should respect each other's workloads and avoid excessive personal conversations causing work to fall behind and work pressures to increase Adhere to Mission and Valued Actions of Catholic Community Services of Southern Arizona, Inc. Address clients with dignity and respect Consistently display positive attitude, and team spirit Accepts responsibility for, and maintains confidentiality Adhere to expectations of required mandatory in-services / certifications / licensures MINIMUM QUALIFICATIONS Suitable work experience may be considered as transferable skills in order to meet minimum requirements of the position and will be considered by the Corporate Director of Human Resources. High School Diploma/GED 1 year of administrative or related experience Excellent data entry skills Proven skills utilizing Microsoft Office Suite Ability to work independently as well as part of a team Capacity to prioritize tasks and maintain confidentiality Ability to communicate effectively via phone, email, and in-person REGULATORY: Must be at least 18 years of age Valid driver license, proof of insurance, and 39-month motor vehicle report Ability to obtain and maintain Arizona Level One Fingerprint Clearance Card (employer paid) Pass pre-employment drug screen (incudes marijuana, regardless of recreational use laws) (employer paid) TB skin test (employer paid) DESIRED QUALIFICATIONS Associate Degree in human social services or related field Bilingual, English/Spanish (verbal and written) Knowledge of housing and economic self-sufficiency issues as well as community resources Additional years of directly related experience First Aid and CPR certification The above statement reflects the general duties considered necessary to describe the principal functions of the job as identified and shall not be considered a detailed description of all work requirements that may be inherent in the job.
